You’re right! This is Impact Partnership’s mailroom. We chose that name to emphasize how important our mailroom is for us, our advisors, and their clients.
In fact, all our rooms and conference rooms are named to make an impact. There’s our Training Room, for example, where most of our educational events take place, and our Experience Room, where we show prospects what Impact’s all about.
If you read our post on revamping your office, you already know the importance of keeping your space vibrant. Getting creative with your conference rooms is part of that! Customizing your meeting spaces applies emphasis on their importance, reflects your office’s culture, and provides another opportunity to further wow your clients.
Choosing a Name for Your Conference Room
There’s no need to just call a meeting room “the meeting room.” A unique name makes the space both fun and focused. You can be as serious or silly as you want to be. But what name to pick?
Company Culture
You work in the financial services industry. Try to use names that represent the results of your services when visitors enter that conference room. Company values work great here, such as the Ingenuity or Innovation Room. Provide financial freedom for your clients in the Financial Freedom Room, or consider their long-term needs in the Planning Room.

If you sell fixed indexed annuities and/or life insurance, you could rename your conference room with specific terms like the Annuity Development Room and Underwriting Room or generalize the benefits of both of these services with the Legacy Room or Wealth Preservation Room.
Location, Location, Location
A landmark in your local community is a good choice to represent your knowledge and appreciation of the area. These landmarks could be iconic buildings, attractions, national or state parks, local areas, and even restaurants or street names. A New York office, for example, could have an Empire Room, with decorations based on the NYC skyline.
Colors
This is a fun one to brainstorm because of the possibilities. You might already have a color scheme for the office or individual rooms, but something simple like the Blue Room could be so much more. You could even research the Crayola color that matches the color of the walls or accents in the room like the Moonstone Room.

Consider Your Conference Room Amenities
A bare-bones conference room can feel unnerving, as if you’re about to interrogate your client. Providing some smaller comforts in your conference rooms goes a long way toward creating a comfortable, open environment.
Refreshments and Snacks
It’s best for a conference room to feel relaxed and inviting. Simple amenities like a coffee maker or a mini fridge bring a hospitable touch, keeping clients refreshed and at ease.
Embrace the Future
Don’t be afraid to get technological, either! Installing a smart board in your conference room instead of a white board (or alongside – best of both worlds!) can help show off your prowess and allow you to integrate software like Teams, making the most out of your physical meeting space.
Location, Location, Location (In the Building)
Like we mentioned before, sunlight can make a tremendous difference in the way a room is perceived. When you’re deciding which room will serve as your conference room, don’t tuck it away in the back. A front-facing or corner room with wide windows turns a dreary four walls into a brightly-lit center for productivity.
That said, if it’s possible with your office layout, consider where the sun will be at certain points in the day when you may be meeting. The last thing you want is a hot beam right in your eyes when you’re trying to make an important point.
